Who we are
EventKiln is a trading name of Fullworks Digital Ltd, a company registered in England and Wales with company number 07720957. Registered office: Station House, Station Approach, East Horsley, Leatherhead, England, KT24 6QX. Postal address: 14 Lovelace Drive, Woking, GU22 8QU, United Kingdom. VAT number GB121436551. Contact us at info@eventkiln.com. For help with your account, your events or the service, email support@eventkiln.com.
Buying tickets
When you buy a ticket, your contract is with the event organiser, who is the seller and merchant of record. EventKiln provides the ticketing service; it does not sell the tickets or run the events. The organiser’s refund policy is shown on the event page. Nothing in these terms affects your rights under consumer law, including where an event does not go ahead as described.
- If the organiser cancels an event, EventKiln starts a full refund of every paid ticket on the organiser’s behalf, to the card used for it. The money comes from the organiser’s Stripe account, as explained below.
- If the date, time or venue changes, we email ticket holders. Ask the organiser about a refund if a postponed or changed event no longer suits you; your legal rights apply.
- Refunds are paid from the organiser’s Stripe account, not by EventKiln, and EventKiln does not guarantee them. If that account does not have enough funds, Stripe may hold a refund until it does. If a refund is delayed, contact the organiser, and tell us so we can follow it up.
Accounts
Sign-up is currently by invitation. Organisers request access, and we create accounts for approved requests or for people invited to an existing team.
You are responsible for keeping your sign-in details safe and for what happens in your account. Tell us straight away if you think someone else has used it.
Organiser terms for businesses
Organisers accept this section when they verify their business. We record the version each organiser accepted (currently 2026-10-v3); it changes only when this section changes, so it differs from the page version above.
EventKiln is for organisers acting for the purposes of a trade, business or profession, not as consumers. Before selling paid tickets or choosing a paid plan, an organiser confirms this and gives its business details. Organisers in the EU must have a VAT number, which we check with the EU’s VIES service; without one we cannot offer paid tickets or plans. We may ask for more evidence, and may refuse or close an organisation that is not acting as a business. For these business services, consumer rights such as cancellation periods do not apply to the booking fee or plans.
UK organisers are charged UK VAT at 20%. For organisers established outside the UK, the reverse charge applies where the law provides for it, and the organiser accounts for any tax due. These terms do not change the rights of ticket buyers.
Organisers
Organisers must accurately describe their events, honour the tickets they sell, comply with applicable law (including consumer, tax and data-protection law) and maintain a Stripe account in good standing. Ticket payments go to the organiser’s own Stripe account, and the organiser is responsible for refunds, chargebacks and disputes on their sales. That includes refunding buyers when the law or the organiser’s refund policy requires it, for example when an event is postponed or materially changed, and keeping enough funds in the Stripe account to pay them.
The organiser authorises EventKiln to create refunds from its Stripe account: when the organiser refunds tickets or cancels an event in EventKiln, and when an order cannot be completed, for example because a payment arrives after the reservation has expired.
Plans and billing
EventKiln offers Starter and Pro plans. What each plan includes and its price in each currency are on the pricing page. The free plan costs nothing; you pay only the booking fee on paid tickets.
- Paid plans are billed in advance, monthly or yearly, through Stripe on EventKiln’s own Stripe account. UK organisers are charged UK VAT at 20% on top of the plan price.
- Switching between monthly and yearly billing takes effect straight away. Stripe charges for the new billing period at once, less a credit for the unused time on the old one. Any credit left over stays on your billing account and is used against later plan payments; it is not paid out.
- Moving from a paid plan to the free plan is a cancellation, as described next.
- You can cancel at any time from Billing in your organiser dashboard. You keep the paid plan until the end of the period you have paid for, then move to the free plan and are not charged again. Until then you can resume the subscription.
- If a payment fails, the paid plan’s features are switched off until it is paid. You can update your card from Billing.
- After moving to the free plan, events that are already live stay live, but you cannot publish more events than the free plan allows, and paid-plan features stop.
- Plan payments are not refunded for unused parts of a billing period, unless the law requires it.
- We may change plan prices. We will email you at least 30 days before a new price applies to you. It applies from your next renewal, so a yearly plan keeps its price until the end of the year you have paid for, and you can cancel before then.
Booking fee and refunds
EventKiln charges a booking fee of 2.5% + £0.30 per paid ticket, on every plan. The fixed part depends on the ticket currency and is shown on the pricing page. The fee is taken from the ticket payment when the ticket is sold. Free tickets carry no booking fee. Card processing fees are charged separately by Stripe to your Stripe account under Stripe’s own terms.
Refunds are made ticket by ticket: each refunded ticket returns its full price, and you can refund some tickets on an order and keep others. When you refund a ticket, including when you cancel an event, the buyer gets that ticket’s price back from your Stripe balance. The booking fee on that ticket is not returned to you, and Stripe does not return its processing fee either, so both fees stay with you on refunded tickets.
The exception is a refund EventKiln makes itself because an order could not be completed, for example a payment that arrives after the reservation has expired. In that case the payment is refunded to the buyer and the booking fee is returned in full.
On the first day of each month we issue an invoice for the booking fees taken in the month before, one for each currency, and email it to the organisation’s owners and admins. It is also available in your organiser dashboard. The invoice records fees already taken from ticket payments, so there is nothing more to pay. For UK organisers the booking fee includes UK VAT at 20%, and the invoice shows the net amount and the VAT. Organisers established outside the UK are not charged UK VAT; where the reverse charge applies, the invoice says so and the organiser accounts for any tax due.
Acceptable use
No unlawful, fraudulent or harmful events. EventKiln may suspend an organisation that breaches these terms. Suspension stops ticket sales and hides the organiser’s pages; it does not refund anyone by itself. The organiser remains responsible for refunding ticket holders, as above.
Your content
Organisers keep ownership of the event text, images and logos they add. They give EventKiln a non-exclusive, worldwide, royalty-free licence to host, copy, resize and display that content to run the service: on EventKiln’s pages, in embedded widgets on organisers’ websites, in emails to buyers, through the API, and in the structured data that search engines read to show events in their results. The licence ends when the content is deleted, except for copies in backups until they expire. Organisers confirm they have the right to use everything they upload.
Organiser data processing terms
These terms apply when EventKiln processes personal data on an organiser’s behalf, as required by Article 28 of the UK GDPR.
- Roles: the organiser is the controller of the details of its buyers and attendees, and EventKiln is its processor. EventKiln is a separate controller for its own records: organiser accounts, billing, booking-fee invoices and security logs.
- Duration: from when the organisation starts using EventKiln until the return or deletion at the end of service below is complete.
- Subject matter: selling and managing tickets for the organiser’s events: taking orders, issuing tickets, sending buyer emails, check-in, exports and the API.
- Data and people: names and email addresses of buyers and attendees, their orders, tickets, check-ins and marketing choice.
- Instructions: we process the data only on the organiser’s documented instructions, which are these terms and the organiser’s use of the dashboard and API, unless the law requires otherwise. If the law requires us to process the data in another way, we will tell the organiser first, unless the law forbids that. We will tell the organiser if we think an instruction breaks data protection law.
- Confidentiality and security: people who can access the data are bound by confidentiality. We take appropriate technical and organisational measures to keep it secure, as Article 32 of the UK GDPR requires, appropriate to the risk. They include encryption in transit, encrypted backups, two-factor sign-in, role-based team access and audit logs.
- Sub-processors: the organiser gives general authorisation for the services listed below. We will tell organisers before adding or replacing one, so they can object. We put the same data protection obligations on each sub-processor by contract and remain responsible to the organiser for them.
- Assistance: we help the organiser, taking into account the information we have, to answer requests from buyers and attendees to exercise their rights, keep the data secure, deal with personal data breaches, and carry out data protection impact assessments or consult the ICO. Organisers can export orders and attendees and erase a buyer’s details from their dashboard.
- Breaches: we tell the organiser without undue delay after becoming aware of a personal data breach affecting their data.
- Retention: buyer and attendee details are kept until the organiser erases them, and at most until 6 years after the end of the calendar year in which the event ended, when they are erased automatically. The amounts on orders are kept, because our booking-fee invoices are based on them.
- End of service: when an organisation closes, the organiser chooses whether we return the data (the order and attendee exports) and then delete it, or simply delete it. Deleting removes all the personal data we hold for the organiser about its buyers and attendees: names, emails, attendee details, marketing choices, IP hashes, the browser keys that linked orders to buyers, links to buyers’ accounts, refund notes, and buyer emails in payment records and webhook logs. Order references, ticket codes and amounts remain but no longer identify anyone. Data in the organiser’s own Stripe account is controlled by the organiser and Stripe, not by us. Copies in backups are kept beyond any ordinary use until they expire within 183 days, and if a backup is ever restored, the deletion is repeated before the service is used again.
- Audits: we make available the information needed to show we meet these terms, and allow reasonable audits on request.

Service availability
We work to keep EventKiln available and secure, but we do not guarantee that it will be uninterrupted or free of errors. We may need to pause the service for maintenance, security or reasons outside our control, and we will try to give notice of planned work.
Suspension and ending the service
You can stop using EventKiln at any time. To close an organisation: cancel any paid plan, cancel your upcoming events or let them finish, make sure refunds have been paid, and export your orders and attendees if you want to keep them. An organisation with no orders can then be deleted from its settings. If it has orders, email us and we will close it: we stop sales, hide its pages, remove team access, and return and delete buyer and attendee details as described in the data processing terms above. We keep the order amounts and our booking-fee invoices for the record-keeping period.
We may suspend or close an account or organisation that breaches these terms, puts buyers or the service at risk, or does not pay what it owes. Where we can, we will warn you first and give you a chance to fix the problem.
Our liability
Nothing in these terms limits liability that cannot be limited by law, such as for death or personal injury caused by negligence, or for fraud. Otherwise, we are not liable to organisers for loss of profit, revenue, business or goodwill, or for indirect or consequential loss. Our total liability to an organiser is limited, for each 12-month period starting on the day the organisation was created and on each anniversary of it, to the greater of £100 and the plan charges and booking fees that organiser paid us in that period. A claim belongs to the period in which the event giving rise to it happened, and claims arising from the same or related events count as one claim, dated at the first of them.
Intellectual property
EventKiln’s software, design and brand belong to Fullworks Digital Ltd. Using the service does not give you any rights in them, except to use the service, the widgets and the API as these terms allow.
Changes to these terms
We may update these terms. The date and version at the top of this page show when they last changed. We will tell organisers by email before a change that affects them materially takes effect.
Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction. If you buy tickets as a consumer, you keep any rights the law where you live gives you.
